HiDock + HiNotes is a hardware + software combined solution to boost your meeting productivity.
The recording is on the hardware. The recorder disk is protected, only after you connect HiDock to your computer via USB cable you can access the recording files, before that the recorder disk is not visible to your computer (either Windows or Mac). This is more secure than other classical recorders.
You can access the recorder from HiNotes, which is a web application. You can log-in with your pre-registered credentials, or you can choose to log-in with Google account.
When you transcribe a meeting recording, the file will be transferred from the HiDock device to HiNotes service, which is based on Microsoft Azure. Azure provides an extensive list of compliance and regulatory assurances, including SOC 1-3, and ISO/IEC 27001. The physical servers are located in the United States (as of Nov 2024), we have a plan to expand to Japan and Europe in the coming years. The transaction is encrypted with HTTPS.
Then the audio will be transferred to OpenAI API for transcription and summary. The transaction is also HTTPS encrypted. And OpenAI promised they would not use API data for its AI training. For more details about OpenAI data policy, please refer to Open AI privacy commitments. Since Oct. 25 2024, HiNotes added Claude AI as one of the AI engines. Regarding Claude data privacy terms, please refer to Anthropic privacy terms.
The audio files on HiNotes will be stored with Microsoft Azure. If you delete one note, it will be deleted within 2-3 weeks. If you delete your HiNotes account, all your data will be deleted immediately from Azure.
This is typical SaaS architecture. At HiNotes, we put users privacy and data security as our priority. HiNotes uses Microsoft Azure Cloud Service security solutions. Its front-end link is SSL secured and the transmission is end-to-end encrypted. The back-end is deployed on Microsoft Azure Storage server and database servers, with industry high level security products and procedures. Below are some highlights:
- End-to-End encrypted with SHA-256 with RSA encryption between connected nodes (User Browser, HiNotes, OpenAI).
- Robot detection with Google reCAPTCHA service to prevent illegal behaviors.
- Firewall real-time defense, and routine security checks.
